Use casesA data aggregation platform for event operations
One reliable foundation that brings visitor, event and exhibitor data together across trade shows and venues.

Context
The starting point
The client wanted to use data more effectively across its portfolio of trade shows and venues. The goal was to bring visitor, event and exhibitor data together in a technology-independent platform that could support operations, marketing and future digital initiatives.
Challenge
What made this hard
The challenge was to create a single source of truth across multiple systems without locking the organisation into a rigid setup. The client needed a platform that could connect operational and commercial data, stay robust during peak event activity, and remain flexible enough to expand over time.
- Constraints: multiple source systems, peak show-day traffic, limited internal data capacity, and the need for clear lineage and governance.
- Success needed to look like one reliable data foundation, better visibility across visitors, events and exhibitors, and a platform that could evolve with future use cases.
Approach
How we worked
Agoya proposed a pragmatic, phased delivery model that combined governance and platform build in parallel.
- Discovery & alignment
- Workshops around business domains, information entities, edge cases and future data use.
- Design choices
- An Information Model to align business and data language, plus a modular Azure-based architecture with open-source components where useful.
- Implementation
- Separate governance and data platform streams, covering the data hub, analytical layer, API enablement and acceptance.
- Change enablement
- Documentation, shared definitions, ownership by domain and a setup designed for adoption beyond go-live.
Solution
What we delivered
A modular data aggregation platform built to bring operational and analytical data together in a governed way.
- Key components
- Information Model, operational data hub, analytical layer, metadata foundation and API layer.
- Integrations
- Tickoweb, Momentus and Brevo.
- Data model
- A structured Information Model covering the main domains of visitors, events and exhibitors.
- Governance
- Domain ownership, traceability, data lineage and a future-ready metadata approach.
Outcome
What changed
A clearer route toward a reliable single source of truth. The platform approach created a practical foundation for better operational insight, stronger marketing data and more scalable reporting across the organisation.
- Business impact
- Better conditions for data-driven decisions across event and commercial teams.
- Operational impact
- Improved visibility across core domains and a more structured way to connect systems.
- Data & AI readiness
- A governed, modular platform ready for future analytics and automation use cases.
- Now possible
- Combining event, visitor and exhibitor data in one scalable foundation instead of working across disconnected tools.
“A useful data platform does more than centralise data. It creates a foundation your teams can trust, extend and use in practice.”
